Define the appointment your business actually offers
List each appointment's purpose and the information staff need to accept it. A routine consultation may fit a calendar slot; a visit requiring equipment, a specific professional or access permission may need another check.

- Duration: the time the business has actually allocated.
- Ownership: who provides the service and who approves exceptions.
- Prerequisites: whether staff review or another existing process is required.
- Confirmation: the exact point at which the business treats the appointment as booked.
Review time zones, hours and resource constraints
Business hours and calendar availability need a consistent time zone. Holidays, travel, preparation time and resource constraints may affect whether a slot is useful even when it appears open. Check how the actual setup handles each requirement rather than assuming it enforces a written policy automatically.
If a workflow cannot reliably check a requirement, treat the call as an appointment request for staff review. Do not promise a particular clinician, service bay, room or property access solely because a time is available.
Use clear language for requests and changes
A caller should know whether they have a confirmed booking or whether someone must review the request. Avoid saying 'all booked' when availability or permissions could not be verified. Ask for the appropriate minimum details and repeat the agreed next step.
Requests to reschedule or cancel an existing reservation can require identity checks and access to the original record. Do not assume those operations are available through every connected calendar or external booking platform. Keep unverified changes in the existing staff process.
Evaluate the workflow with awkward scheduling questions
Build the personalized demo and request a closed time, change the appointment type mid-call and ask for a past date. Use a fictional scenario, not a request you expect to reserve in your production calendar.
Before deployment, separately verify the actual calendar connection, a conflicting slot and a disconnected-calendar case. Assign responsibility for requests that cannot be confirmed.
