Buyer, seller and viewing calls need different intake
A buyer may be calling about one listing or asking whether your team covers an area. A seller may want to discuss a potential listing rather than schedule a property visit. Recognize the intent before applying the same appointment request to everyone.
Collect only the information needed for an agent's next conversation. Do not ask for financial account details, identity documents or a complete transaction history during general phone intake.
- Buyer: property reference or area of interest and preferred callback details.
- Seller: location of the property and the requested consultation.
- Viewing: property reference and a preferred time, subject to confirmation.
- Existing transaction: identify the intended agent without offering transaction advice.
A published listing is not proof of current availability
A website is a starting point for the receptionist's information, but listings can change. A property may already be under discussion or no longer available. Use approved current information and clearly identify when an agent needs to confirm a detail.
Do not claim live access to MLS feeds, a brokerage CRM or transaction-management records unless that connection has been verified. A caller asking about a change in price, an offer or an accepted contract needs an authorized source, not an inference from older website copy.
Viewing requests require access and agent confirmation
A supported calendar workflow may fit an initial agent consultation. A property viewing can also require seller permission, tenant notice, an assigned agent and access arrangements. A calendar opening alone does not confirm those conditions.
The receptionist should not share security codes, promise entry or suggest that an appointment establishes access authorization. Negotiation, valuation, agency questions and legal or financial advice should stay with the relevant authorized professional. Do not make assumptions about eligibility or preferences based on personal characteristics.
Test realistic interruptions to an agent's day
Build the demo using your agency website. Call as a buyer asking about a property, a seller requesting a conversation and someone trying to book a viewing after the published hours. Listen for distinct intake and a clear difference between a request and confirmation.
Also ask for a guarantee about an offer or for access to a property without the agent. Before live use, decide which team member reviews each inquiry and how listing information is kept current.
