Calendar availability is the source of truth
A receptionist should not guess at openings. CallJive supports configured calendar connections so appointment handling can use the schedule you have authorized. Setup must establish which calendar to use, business hours and the time zone.
A demo shows how the conversation works; it should not be treated as a reservation in your production calendar. Test your actual calendar connection and permissions during onboarding.
Define what can be booked automatically
Some appointments need a simple time slot. Others need a particular clinician, a property inspection, a longer service visit or a staff review. Separate bookable appointments from requests that require manual confirmation.
- Appointment type and expected duration.
- Allowed days, opening hours and the business time zone.
- Required information such as name and callback number.
- Which requests require a staff member's approval.
- How the caller knows whether a booking is confirmed or only requested.
Test corrections and unavailable times
Ask for a time outside business hours, a past date and a slot that conflicts with an existing appointment. Then change your mind halfway through the conversation. These tests reveal more than asking for an uncomplicated open time.
An appointment workflow must also deal with disconnected calendars or unavailable permissions. If a booking cannot be verified, the safe next step is to capture a request without claiming a confirmed reservation.
