Always answering is not always delivering
Call coverage and service availability are different promises. A receptionist can record a request overnight while explaining that your staff will review it during business hours. It should not imply an immediate visit, response or appointment unless you actually offer one.
Configure your opening hours, time zone and the difference between routine inquiries and urgent requests. CallJive can provide AI call coverage, but your underlying phone routing and follow-up process still need to be set up.
Use different rules for different times
The same greeting need not make the same promise at noon and midnight. Write down what a caller can reasonably expect during each coverage period.
- During business hours: routine answers and configured appointment requests.
- When the team is busy: collect enough context for a callback.
- After closing: state the business is closed and capture the request.
- For urgent situations: follow an explicit escalation policy, not an assumption.
Test the boundaries of round-the-clock coverage
Ask the demo what happens if you call on a closed day, whether a technician can arrive tonight and when a callback will happen. A good answer stays within supplied policies rather than improvising a commitment.
24/7 describes the intended answering coverage, not a guarantee that every dependency is immune to outages. Review phone-provider routing and have a fallback plan for operational interruptions.
