Write a requirements list before comparing products
Decide which calls the receptionist should handle and which need a person. A trade business receiving urgent repair requests has different requirements from a practice scheduling consultations.
Document required coverage hours, languages, phone routing, calendars and data-handling expectations. Verify each requirement with the provider rather than assuming it comes with the phrase 'AI receptionist'.
- Accurate answers about services, hours and location.
- A way to handle unknown questions without guessing.
- Clear appointment-request versus confirmed-booking language.
- Appropriate escalation for urgent or sensitive calls.
- Transparent usage allowances and billing terms.
- A practical process for keeping business information current.
Use a repeatable call test
Test every candidate with the same set of realistic scenarios. Include a service question, a correction to contact details, a request outside normal hours and a question that cannot be answered from your website.
Listen for whether the receptionist asks for clarification, respects restrictions and provides a usable next step. Do not score a system only on how natural its opening greeting sounds.
- Routine: ask about a service you actually offer.
- Boundary: ask about one you do not offer.
- Booking: request a closed time or an unavailable date.
- Correction: change a name or callback number mid-call.
- Escalation: ask for an exception only staff can authorize.
Check the operating model, not just the demo
A demo can show conversation quality but not every production dependency. Check forwarding compatibility, calendar permissions, outage handling, data access and who reviews captured requests.
If your business handles health, legal or other sensitive information, evaluate applicable requirements and contracts before deploying. A general product claim is not evidence that your particular use case is compliant.
