Compare like-for-like coverage
Do not compare a message-only service with a receptionist that handles appointment requests as if they are identical. Define your required tasks first, then ask each provider how those tasks work and what they cost.
There is no universal winner. A team needing discretion on unusual calls may prefer trained people; a team with well-defined routine inquiries may find an AI conversation worth testing.

Test exceptions before choosing
Use the same scenarios for both options: a caller changing their phone number, an inquiry outside the service area and a request nobody can approve on the spot. Ask what happens when the operator or software lacks the answer.
Also check what your team receives after the call. A clear summary and usable contact details matter more than a polished greeting if nobody can act on the message.
Compare total operating effort
Price is only part of the decision. Updating hours, reviewing conversations, managing escalation and returning messages take staff time with either model. Ask providers to explain billing units and cancellation terms rather than assuming a quoted monthly rate covers everything.
